When we take on a project we want to make sure that we do everything we can to achieve the goals we set out to accomplish. There are a number of things that you need to keep in mind when you are trying to ensure the success of a project. You need to have good project management skills to make sure that it goes well. It is the art of ensuring that optimum use of resources is made in the execution of the project. In this article we will find out a little more about project management and how you can use templates to reduce your work load. It consists of the following: planning, organizing, delegating and appropriate allocation or resources. Planning involves the creation of guide or a plan of action. It involves thinking about how you want to go about achieving the goals of the project. Organizing a project means giving directives to all those involved and putting everything in its place. A well organized one will proceed smoothly and without mishap. Once the project has been planned then the manager needs to start delegating. He needs to tell each member of the team what they need to do and what is expected from them. The toughest job of a manager is allocating resources. Every project has certain constraints. There are limits on the budget, on the material available and there is a time limit. A project manager has to make sure that the resources available are put to the best use.
There are many advantages of project templates. They give a strong base and a good structure to your planning process. It is better to prepare it in a simple format so that everyone understands it. A well prepared template will boost the confidence level of the staff and members and also enable decision making. It will maintain your focus on the project and guide you the next level if you have lost track of what you were doing. It will also speed up the entire process which will save a lot of time. The templates will also help in ensuring that there is proper communication between the members and the staff as lack of communication can affect the project adversely.
Concise Verbal communication is often richer than written communication. It is often easier to be told what to do than it is to read what to do, especially if that reading consist of blocks of text within in 8 point font. Your template should be targeted (use bullets where possible), allow "eye breathing" space (white space), delineate where information is needed (boxes, lines, check boxes) and save trees (does not say in two pages what can be said in one). Concise. 5. Evolve Like the theory of man, your template needs to learn, grow and stand on its own. A template created and maintained with evolution in mind displays the following characteristics: a. Has feedback on templates has been reviewed and incorporated, if applicable? b. Are you willing to admit the template is not working or modify its elements into another template or delete it entirely? c. Was the template fully vetted within the PMO or is it simply an inherited template from the last PMO best practice exercise? The 5 traits presented above when taken together aim and ensure the templates used within a PMO are the best (effective, responsive, targeted) it can be. Avoid the central characteristic in the not-so-tall tale. Ensure your templates are simple, transparent, flexible, concise and evolve so you avoid being a slave to them.
There are many ways to create a plan for the project like creating diagrams or flow charts. However, it can become very hectic as there are many aspects you have to plan for. Instead you can use ready made project templates where you just have to fill in the information just like you fill a form and distribute copies amongst your staff or members. These templates will help you in planning out important aspects of the project like completion of the project before the deadline, delegation of work and coming up with solutions in case you have any problems. There are several websites who offer these templates. You have to find out which template suits your requirements the best.
Projects have to be made no matter what organization you are working. In todays corporate world, whether it is a small or a big Company, you need people to organize things for you. This is a lot to think about, so, let me provide a metaphor. A project is like cutting an apple. The methodology is the way you slice it, and the software is the knife that slices the apple. The theres the apple slicer, a very specific knife which makes exact cuts all around the apple in one downward motion. Like the apple cutter, with software that creates and customizes templates, project managers can hone in on projects with extreme focus to its individual characteristics. Let me bring you back to the crux of my argument: the power of collaboration on templates. If project teams are equipped with means of web-based collaboration on project templates, then the efficiency of project execution is greatly enhanced. In another metaphor, a project is like building a road.
